A variety of physical assets designed for an in-person event. Prominently featured is a vibrant red signage that serves as a reminder to validate tickets prior to the event. Next to this, an elegantly designed event program displays the names of authors and performers anticipated to participate, creating an inviting atmosphere. There is also a stylish bookmark adorned with a red tassel, which guests can get stamped to mark their attendance at different events. In addition, a comprehensive volunteer guide lies open, providing essential information for the event helpers. A detailed "run of show" schedule is included, outlining the flow of the event for coordinators and involved personnel. Lastly, a bright reflective vest is displayed, emblazoned with the phrase “staff ALOUD” on the back and featuring a name tag positioned on the upper right side of the front. This ensures that volunteers are easily recognizable as they assist attendees throughout the event.

ALOUD is celebrated for its unique literary and cultural events that foster human connection and live interaction. After attending several of these events, our design team identified key challenges faced by attendees. In our support for ALOUD, we envisioned volunteers as ambassadors of the event's mission rather than just support staff. Our goal was to enhance the attendee experience by ensuring volunteers are approachable, visible, and well-informed, ultimately creating a more engaging environment for everyone.

Problem

While the events are culturally enriching and attempt to create an immersive experience for their audience, attendees can face frustrating barriers when it comes to preparation, navigation, and engagement.

Insights

By recruiting passionate volunteers that embody the welcoming spirit of ALOUD—ready to engage, guide, and inspire–our goal is to make these events even more impactful. Additionally, having volunteers to guide and assist attendees has shown to positively impact guests’ event experience.

Our design team identified key pain points in the ALOUD customer journey, particularly the need for a strong hospitality foundation during the event. The challenge of quickly identifying staff for attendee needs can hinder engagement and the overall event experience. Additionally, an organized structure, like a run-of-show, can enhance interactions with both current and new attendees.

The ultimate goal is to turn moments of uncertainty into moments of connection and inspiration, ensuring that ALOUD events continue to foster a sense of community and excitement.
